SMK Electronics Malaysia, a key player in the electronics industry and part of Japan’s SMK Corporation, sought a smooth, efficient e-invoicing solution to comply with Malaysian tax authority (LHDN) requirements. To meet SMK's needs, we designed a customized solution that integrated with their ERP system and managed a range of specific challenges to ensure a successful launch.
Client Background
SMK Electronics Malaysia produces electronic components, such as remote controls and control panels, for various industries. They needed an e-invoicing system that would integrate seamlessly with their internal systems, ensuring timely and accurate invoice submissions to LHDN.
Key Challenges
- Initial Setup Delays on the MyInvois Portal: The MyInvois portal setup took longer than anticipated, causing initial delays.
- PDF Template Customization: Adapting the PDF invoice templates with custom fields required to meet SMK's needs involved complex modifications.
- Unexpected Errors During Testing: During the testing phase, unexpected errors disrupted the upload process on the Complyance platform, creating temporary barriers.
- Excel Template Adjustments: The original e-invoicing Excel sheet required further adaptation to match LHDN’s guidelines, which initially slowed down the process.
Solutions Implemented
- Detailed Setup Documentation: We documented the MyInvois portal setup step-by-step to ensure a smoother onboarding experience.
- Collaborative PDF Template Refinement: Our team visited SMK’s Malaysia office to fully understand their requirements and finalize the necessary template modifications.
- Permanent Resolution of Testing Errors: We identified and resolved the issues causing upload errors, ensuring smoother testing.
- Streamlined Excel Template for Usability: After revising the Excel template to align with LHDN’s specifications, we made it easy to use, allowing SMK’s team to transition to e-invoicing without complications.
Results
The project successfully went live, allowing SMK to submit e-invoices seamlessly and without errors. While initial challenges caused minor delays, SMK is now equipped with a fully functional e-invoicing solution, and we are focusing on enhancing the system further through API integration for even greater efficiency.
This successful project highlights our commitment to understanding client needs and delivering effective, customized solutions. We look forward to supporting SMK Electronics Malaysia in achieving continued e-invoicing success.
